Summary

The Administrative Assistant is responsible for performing a wide variety of complex administrative support activities for the Finance & Administration Director and other professional staff.  Serves as Office Manager for the Finance & Administration Department.  Coordinates the production of City financial publications.  Establishes and maintains open communication and acts as liaison for Director with management team, City staff, City Manager, City Attorney, City Council, and external parties.  Maintains the Director’s appointment calendar and coordinates meetings, prepares confidential correspondence, and routes calls.  Drafts correspondence, proofreads documents for grammar and form, creates spreadsheets for tracking information, copies materials, creates presentation materials and completes other research and special projects as assigned.  Coordinates department agenda items for Council meetings.  Maintains attendance and payroll records and statistics on all Department employees. Acts as department budget coordinator; coordinates preparation of Finance & Administration and Non-Departmental budgets, including data gathering and preparing required reports and spreadsheets.  Processes department invoices, purchase requisitions and contracts utilizing the City’s financial system.  Compiles and prepares financial data in support of financial management documents and presentations to the City Council.  Coordinates department hiring processes. 


Hours of Work

40 hours per week, Monday - Friday, 8:00 a.m. to 5:00 p.m.

Minimum Qualifications

Associate Degree in Office Administration or related field plus three (3) years administrative experience with increasing responsibility or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.  Position requires advanced computer literacy and working knowledge of accounting principles.

Preferred Qualifications

Municipal administrative experience preferred.

Working Conditions & Physical Activities

Work is generally performed in an office setting. Must be able to sit at a desk for long periods of time.  May require evening or after-hours meetings.
