Administrative Assistant - IT (1040) - City of Bellevue ( Job # 12-0086)

This position provides administrative support for the cable franchise business, including coordination of customer issue resolution between citizens and providers.  Publish the weekly City Council meeting videos to the City Internet site.  Provides support for the Graphics division of IT including ordering special supplies and tracking projects.  Other projects include providing admin/contract support to the Community Connectivity Consortium and various other projects as required.  This is a morning position, typically 4 hours per day.

Essential Job Functions

  • Acts as liaison between City of Bellevue, citizens and cable companies regarding timely resolution of customer issues and posting of cases in the CRM system.  Answers questions, provides guidance, troubleshoots and follows up with cable customers.
  • Publishes City Council videos on a weekly basis and posts to the Web.
  • System administrator and trainer for Granicus (video streaming system).  Troubleshoots system problems and works with the vendor to resolve issues. 
  • Orders special supplies for Graphics division, including paper and other supplies for projects.
  • Tracks jobs and projects for Graphics division using MS Excel and Access.
  • Provides administrative and contract support to project managers for the Community Connectivity Consortium including routing and tracking official documents, scheduling meetings, and minute taking. Acts as the SharePoint site administrator.
  • Coordinates regular maintenance checks of City AV equipment with vendor.
  • Prepares reimbursement backup for UASI grants, working with managers and the grant team.
  • Researches purchase orders and payments using JD Edwards system.
  • Updates Standard Operating Procedures as necessary in support of changing processes.
  • Other special projects as assigned.


Education and Experience Required

  • High school diploma or equivalent, plus four years of progressively responsible related work experience.
  • Or equivalent combination of education, experience and training that provides the required knowledge, skills and abilities.



  • Effective oral and written communication skills.  Ability to work with all levels of staff and management. 
  • Excellent phone rapport, ability to restate and accurately document phone discussions, ability to handle pressure and diffuse situations at times with unhappy customers.
  • Organized, accurate and flexible in order to accommodate changing priorities.
  • Comfortable with numbers and tracking spreadsheets.
  • Intermediate to advanced experience with MS Office suite and Outlook.
  • PC and system finesse, preferred experience with web or video publishing and MS Access.
  • Purchasing and Procard experience preferred.
  • Experience working with vendors preferred.
  • MS SharePoint, JD Edwards experience preferred.

Definition of a 1040

There is no specific end date for employees in this status. Therefore, working in this status can be on going for as long as required by business necessity. However, employees in this status cannot work more than 1,040 hours per calendar year, from January 1 to December 31.

  • On-Going Work of the City - Hired to work a maximum of 20 hours or fewer per week on an on-going basis, as long as 1,040 hours within a 12-month period of time are not exceeded.
  • On-Call – Hired to work on a substitute or on-call basis with no guaranteed minimum hours of work, as long as 1,040 hours within a 12-month period of time are not exceeded.
  • Combination Jobs - Can be hired to fill a combination of jobs as long as 20 hours per week or 1,040 hours within a 12-month period of time are not exceeded.
  • Periods of Full Time - Can be assigned to work more than 20 hours per week up to full time on a temporary basis without transforming the assignment to a benefited position, as long 1,040 hours within a 12-month period of time are not exceeded.
  • If the employee exceeds working 1,040 hours within a 12-month period of time in any capacity described above, the employee must be off payroll until January 1 of the new year.
  • Must be hired through the Informal Selection Process.
  • At-will for the duration of the 1040 Part Time status.
