Summary

This position provides administrative/clerical support to the Development Services staff (permit review, inspections, and code compliance).



Primary Responsibilities

  • Work interchangeably within a team of four.
  • Answer high-volume phone calls—providing information, engaging in problem solving, and often dealing with conflict.
  • Enter building inspection data into the permit tracking database.
  • Assist in auditing data entered into the database.
  • Receive and record code violation complaints; assign complaints to staff.
  • Prepare written correspondence and create spreadsheets, databases, and documents.
  • Take and prepare meeting minutes.
  • Do general mailings, copying, organization, and filing.
  • Maintain filing systems, office equipment, and supply and copy rooms.
  • Work on special projects as assigned.

 

Education

High school diploma or equivalent combination of education and experience.

 

Qualifications

  • Four years of customer service, general office, or comparable experience dealing with complicated, technical issues on the phone and in person.
  • Proficient in Microsoft Office.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to have productive two way communication and the ability to share information.
  • Excellent attention to detail; proven work history requiring attention to detail in databases and spreadsheets.
  • Excellent conflict resolution and problem solving skills.
  • Ability to work with minimal supervision, handle numerous interruptions, balance competing demands, and meet established deadlines.
  • Ability to work collaboratively as a team player, promoting a positive work environment.
  • Ability to learn and to integrate new and constantly changing information into daily work.
  • Ability to work weekdays from 7 a.m. to 5 p.m, with every other Friday off.
