Summary

This position provides administrative and some fiscal support for the Police Department Administrative office, supporting both directly and indirectly the Chief of Police, two Deputy Chiefs, the Fiscal Manager, the Senior Administrative Assistant, and the Office of Professional Standards.  The Administrative Assistant frequently functions in a lead role on many fiscal projects, such as processing accounts payables, credit card processing, and asset inventory.  The position provides direct administrative support to the Patrol and Traffic units, and is the primary backup to the Senior Administrative Assistant position in support of the office of the Chief, and is the primary backup to the Department’s payroll function.  Finally, the position provides administrative support to the Office of Professional Standards by transcribing confidential documents on an as-needed basis. 



Essential Job Functions

  • Coordinates and performs all accounts payable functions for Police Administration, Operations, and other units within Police.  Ensures all invoices are processed on time, accurately, and charged to the correct accounts.
  • Coordinates and maintains the department’s ProCard and Chevron gas card duties, ensuring all City and department guidelines are followed and appropriate approvals are obtained.
  • Supports the Fiscal Manager in running and assembling monthly budget reports, and is able to review financial transactions for accuracy and completeness.
  • Procuring supplies for Police Administration and Operations on a regular or on an as-needed basis.
  • Supports the Senior Administrative Assistant in any and all duties pertaining to the administrative support of the Office of the Chief, including telephone answering, office correspondence, and general support of the staff in the Admin unit of the Police Department. 
  • Support the Fiscal Manager in fulfilling and assembling the unit’s CALEA (Commission on Accreditation of Law Enforcement Agencies) accreditation requirements.
  • Maintains the Department’s equipment and small and attractive asset inventory system. 
  • Serves as the primary backup to the Department’s Payroll Coordinator using Telestaff.
  • Must treat all duties and responsibilities in a confidential manner.
  • Other special projects as assigned, including but not limited to special event coordination, volunteer coordination, and performing transcriptions.

 Education and Experience Required

  • High school diploma or equivalent, plus four years of progressively responsible related work experience.
  • Or equivalent combination of education, experience and training that provides the required knowledge, skills and abilities.

 Qualifications

  • Effective oral and written communication skills.  Ability to work with all levels of staff and management. 
  • Excellent phone rapport, ability to restate and accurately document phone discussions, ability to handle pressure and diffuse situations at times with unhappy customers.
  • Organized, accurate and flexible in order to accommodate changing priorities.
  • Comfortable with numbers and tracking spreadsheets.
  • Intermediate to advanced experience with MS Office suite and Outlook.
  • Working for government organization and/or a police department is preferred.
  • PC and system finesse, preferred experience with web or video publishing and MS Access.
  • Purchasing and ProCard experience preferred.
  • Experience working with vendors preferred.
  • MS SharePoint, JD Edwards experience preferred.
