Summary

Provide intermediate to advanced administrative support to the Transportation Department.  Possess considerable knowledge and experience in the application and operation of software programs that go beyond basic word processing.  SharePoint 2010 experience is highly desirable.  Work may involve the development of moderately complex PC spreadsheets and presentation of graphic materials.

 

This is a full-time, benefited, Limited Term position, for a maximum time period of 3 years


Job Responsibilities
  • Operates a PC to view, enter, edit, format, revise, print, process, and distribute information.
  • Coordinates, documents, and tracks pertinent data to meet the information and reporting needs of the work unit.
  • Acts as a problem identification and resolution recourse, answering questions, providing guidance, troubleshooting and following up with customers in resolving problems.  May coordinate between functions/departments as required to facilitate problem resolution.
  • Plans, arranges and coordinates specific meetings, occasions, operations, meetings, presentations, conferences or other group events; anticipates needs, puts together the necessary components, combines various elements and ensures readiness in advance of the activity.
  • General administrative support such as proofreading, finalizing letters, mail distribution, ordering supplies, archiving, and scanning.
  • Data entry of surveys, questionnaires, and ballots for traffic calming and neighborhood enhancement projects.
  • Preparing numerous mailings which would require stuffing and labeling of envelopes.
  • Organizing materials and setting up for open houses and public involvement events.
  • Purchase order requisitions and contract tracking.
  • Special projects, as required.
  • General office/secretarial tasks such as monitoring/ordering standard office supplies; collating and assembling documents; accepting and delivering inter-department correspondence, photocopying/faxing correspondence and reports; attend meetings and take/distribute minutes; scheduling appointments and maintaining supervisor’s calendar; screening calls/visitors; making travel arrangements.

 

Supervision Received and Exercised

  • Work is performed under moderate to general supervision, with the incumbent proceeding with recurring work on their own initiative.  The supervisor assists with projects or situations not previously encountered or assigned for training purposes, or where new/revised regulations or procedures apply.   As it relates to PC operation and software functionality, supervisory guidance as to how to produce a desired product or result is typically absent.
  • No formal, direct supervisory responsibilities are present.  However, the incumbent may lead or direct the work of other support staff and/or temporary staff, as assigned.  This usually involves scheduling or reviewing work, providing some on-the-job training and some input with respect to the hiring or performance management process.

 

Education and Experience Requirements

  • High school diploma or equivalent, and four years of progressively responsible related work experience.
  • Or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

  • Must be able to work well with others in a coordinated effort to get the job done.
  • Must have good judgment and take initiative in order to make independent decisions.
  • Must be an effective communicator and able to handle pressure from sometimes irate citizens.  Important to understand the importance of good customer service and that, as a public agency, the citizens are our customers.
  • Must be organized and flexible in order to accommodate change as priorities or special situations arise.
