Summary

Under the supervision of the Management Analyst, this position will assist with the implementation of two (2) asset management software systems and provide backup customer service assistance in support of the Maintenance & Operation Division.  Duties include but are not limited to:  performing data entry and research in preparation of data transfers; assisting with reviewing, editing, and finalizing electronic spreadsheets and other documentation; checking documents and data for accuracy, completeness and compliance; coordinating submittals for review routing; logging and tracking project data and other information; documenting decisions made; providing administrative support to on-going programs within the six (6) maintenance divisions; and providing customer assistance by greeting visitors, answering phones and directing customers appropriately.


Hours and Duration:

This is a full-time, limited duration position with benefits.  The anticipated duration for the position is 24 months. The anticipated work schedule is Monday through Friday, 7:30 am to 4:30 pm.

Qualifications:

Knowledge of: General office practices, methods and equipment; business English and math; governmental maintenance and operations practices, procedures and principles is preferred. 

Skill in:  Organizational and project management; operating personal computer equipment and related software Microsoft Office Suite (including Outlook, Excel, and Word); familiarity with SharePoint and Enterprise Asset Management Software is preferred; maintaining data bases and records; performing excellent customer service.

Ability to:  Write and edit documents and create and edit spreadsheets; interpret policies and procedures; perform detail oriented tasks accurately and completely; determine work priorities and accomplish tasks with frequent disruptions; work independently with little direction; establish and maintain positive working relationships with others, and resolve conflicts; perform a variety of professional administrative support duties and assist with various aspects of office operations and coordination; communicate effectively in a confident, professional and tactful manner.

Education and Experience:

High school diploma or GED and two (2) years of progressively responsible administrative support experience required.  Relevant certification or higher education coursework desired.  Public sector experience preferred. 

Licenses and Requirements:

Must have a valid Washington State driver's license by date of hire, and a driving record that meets City standards.

Working Conditions:

Work is performed in an office environment.  May occasionally be required to lift boxes or files, usually not exceeding 30 pounds.

Union Affiliation:

Fulfillment of bargaining unit agreement membership is required within 30 days of hire.
