Summary

Under the direction of the Business Office Administrator, this position will provide customer service, registration, rental, programming, financial, and clerical support at the Old Redmond Schoolhouse Community Center. Duties include but are not limited to: perform customer service assistance with class registration, rental, and other program services; accept and receipt payments and train staff on proper cash management procedures; manage automatic payments for preschool and other on-going programs/rentals; perform cashier and deposit duties; process daily reconciliation, general ledger entries, and coordinate with city’s Finance Department; process invoices and track receivables; coordinate and maintain databases for customer service information and related documents and systems; oversee process for customer satisfaction survey distribution and response; create and maintain registration databases and generate reports on financial or customer service statistics and trends; assist the Business Office Administrator and other department staff with key customer service initiatives and programs; work in a team environment to assist the Business  Office Administrator and other staff with day to day operations of the business unit; administer ordering of operating supplies for Recreation Division; assist in the hiring and training of supplemental staff responsible for registering, booking facilities, and other customer support to patrons; provide backup to the Rental Coordinators to provide customers with facility guideline information; provide assistance to customers and staff using the community center or other sites; prepare the community center for opening; respond to requests and resolves complaints and problems; assist with creating, editing and distributing office, registration, rental, or marketing materials/documents; and may lead or assist with special project assignments.  Other duties as required.


Hours and Duration:

This is a full-time position with benefits. Scheduled shift will be Monday-Friday, 7:00 am-4:00 pm. On occasion this position may include weeknights and/or weekends to meet department needs.

The City of Redmond will be creating an eligibility list from this pool of applicants for future openings.

Qualifications:

Knowledge of: customer service practices; computerized database(s), registration and reservation systems; office practices, procedures and equipment; rental/facility management; marketing material - creation and distribution; cashiering, deposit management and basic accounting principles; financial recordkeeping; business English and composition.

Skill in: operating personal computer equipment and software, including graphics, spreadsheet, database, registration and financial programs (MS Office: Word, Excel, Publisher, and CLASS); creating reports; creating, editing, and proofreading; researching and resolving discrepancies with accounting/financials.

Ability to: multi-task, prioritize and meet deadlines in a fast paced work environment. Work independently and in an open office team setting.  Interpret and apply departmental policies and procedures; maintain computerized scheduling and booking system; communicate effectively using tact, patience, and courtesy; proactively deal with customer service concerns; appropriately deal with emergency situations; follow written and verbal instructions; and produce a highly accurate work product.

Education and Experience:

Any combination of education and experience equivalent to: Associate’s degree in Business Management, System Applications, Customer Services, Recreation and Leisure Studies or related field and minimum two (2) years related work experience.  

Licenses and Requirements:

Must be a minimum of 18 years of age. Valid Washington State driver's license by date of hire and a driving record that meets city standards. Must obtain First Aid/CPR certificates within 60 days of hire.

Working Conditions:

Work is performed in an office environment. Ability to work occasional evenings and weekends as needed.  May be required to lift boxes or files weighing up to 50 pounds.  Fulfillment of bargaining unit membership is required within 30 days of hire.
