Under the supervision of the Business Operations Manager, this position performs a variety of administrative support duties for the Planning and Community Development Department. Duties include but are not limited to: performing excellent customer service by greeting visitors, answering phones, and directing customers appropriately; composing routine correspondence; proofreading, editing, and formatting the work products of other staff; providing administrative support to the Planning Commission and Human Services Commission, including web publishing and assembling meeting packets; completing conference registrations according to Department and City policy and procedures; performing records management, including filing and assisting with records retention and storage; ordering supplies; coordinating large scale mailings; acting as main backup to department Administrative Specialist and Development Review Administrative Assistant; creating spreadsheets and presentations; performing other duties as assigned.    

Hours and Duration:

This is a part-time position (35 hours per week) with prorated benefits.  The incumbent will generally work Mon-Fri, 8 am - 4 pm.  Flexibility to work occasional extra hours may be required.


Knowledge of:  governmental policies, procedures, and operation is preferred; general office practices, methods, and procedures; business correspondence standards, including English, spelling, punctuation, and grammar; basic mathematics; and safe working procedures.

Skill in:  MS Office (Word, Excel, Outlook, PowerPoint; performing excellent customer service;  proofreading and document editing; maintaining data bases and records; preparing reports and presentations; and using website publishing software to perform website maintenance.

Ability to:  determine work priorities and handle routine and nonroutine matters; work independently and cooperatively with others; write and edit documents and reports; create spreadsheets; establish and maintain effective working relationships with coworkers and the public; communicate effectively and tactfully both verbally and in writing; greet visitors and respond to requests; resolve issues with a positive outcome; handle sensitive paperwork with strict confidentiality; meet deadlines with short turnaround times; update web pages with a high level of competence.

Education and Experience:

High School diploma or GED and two (2) years clerical or administrative experience required. Public sector experience preferred.

Licenses and Requirements:

Valid Washington State Driver’s License by date of hire and a driving record that meets City standards.  Must be able to successfully pass a criminal history and DMV background check. 

Working Conditions:

Work is performed primarily in an office environment.  May occasionally be required to lift boxes or files, usually not exceeding 30 pounds.

Union Affiliation:

Fulfillment of bargaining unit membership is required within 30 days of hire.

Selection Process:

Top scoring candidates will be contacted to participate in a written test tentatively scheduled for March 25, 2014.  Interviews are tentatively scheduled for the week of April 7, 2014.

Candidates who are selected to interview will be required to complete a Background Authorization Form.
