Administrative Specialist - Mayor’s Office - City of Redmond ( Job # 14-0025)
Minimum Salary: $3,782.00 per month
Maximum Salary: $4,917.00 per month

Under the general direction of the Executive Assistant to the Mayor, this position provides administrative assistance to Executive Office Staff (including the Mayor) and is the first point of contact for visitors and customers of the Mayor’s Office.
Duties include but are not limited to: answering phones and greeting visitors; providing assistance to customers, elected officials and City staff; problem solving and acting as liaison between customers and city staff in order to resolve requests; writing, editing, proofreading and formatting various documents, including Council agenda memos, reports and correspondence; opening and distributing Executive office mail, and tracking letters for Mayor’s response; acting as primary backup for the Executive Assistant; creating and routing contracts; filing and records management; scheduling meetings and managing calendars; coordinating travel arrangements, conference and event registrations, and processing related expense paperwork; submitting purchase requisitions; maintaining inventory of office supplies; updating web pages by linking, editing, and reviewing for outdated or missing information; coordinating the electronic timesheet and leave request processes for the Executive department; advising on the use of various software programs; interacting with citizens, elected officials, business owners, citizen boards and commissions, department directors and city staff; coordinating special projects and events; and other duties as assigned.
Knowledge of: Office practices, procedures and equipment; business English, grammar and correspondence standards.
Skill in: Customer service and interpersonal communication; organizational and project management; personal computer equipment and related software (MS Office – Word, Excel, PowerPoint, and Outlook). Familiarity with SharePoint, OneNote and an enterprise accounting system is desired.
Ability to: Perform a variety of professional administrative support duties; problem solve and provide excellent customer service; work independently with little direction; take initiative; prioritize, organize, and schedule multiple work assignments; troubleshoot and provide assistance with office software programs; establish and maintain file management systems; maintain positive working relationships; communicate effectively both verbally and in writing with employees, elected officials, the public, and other organizations; update documents and web pages with proficiency; use good judgment and act with diplomacy; and present a positive image of the City of Redmond.
Education and Experience:
Any combination of education and experience equivalent to: an Associate’s degree in Office Management, Business or related field and five (5) years of progressively responsible administrative experience. Previous work experience in a municipal or government environment is desired.
Licenses and Requirements:
Valid Washington State driver’s license required by date of hire and a driving record that meets the City’s driving standards.
Work is performed in an office environment. May be required to lift boxes or files weighing up to 30 pounds.
