The Police Administrative Support Associate provides administrative support to a Police Captain, to include the units or functions within that Captain’s span of control.    Performs administrative duties for the Police Chief and other senior management staff.  Drafts routine correspondence, performs data input, generates reports, schedules appointments, and maintains files and records.  Opens and distributes mail within the Police Department, prepares mailings, orders and maintains general office supplies.  Provides backup support for payroll preparation as required.  May assist in initiating requisitions and reporting on the City’s Financial System for Department purchases or payroll.   Assists with coordination of Department ceremonies/activities and represents the Police Department on City committees as assigned.     Performs other duties and projects as required.

Note: Significant focus of this position will be providing administrative support to jail programs.  Oversees the daily operations of the Electronic Home Detention Program which includes approving inmates, interviewing inmates, explaining program rules, doing daily checks for inmate compliance and working with the Court on inmate status regarding probation.   Assists jail staff in organizing and scheduling jail programs such as AA meetings, religious services, domestic violence classes, etc.   Enters arrest warrants, and inputs information into City's financial system.

Hours of Work

Work week is Monday - Friday.  Flexible work schedule available, to be mutually determined upon acceptance of position.

This is a full-time, benefitted, temporary position, with two-year funding anticipated through December 31, 2018.

Minimum Qualifications

High school diploma or GED equivalent.   Minimum two years clerical support experience.   Advanced knowledge of MS Word, Excel, Outlook, and proficiency in math calculations.  Must possess excellent organizational skills and oral and written communications skills.  Ability to use tact, discretion, and courtesy with staff and public contacts.  Must maintain a valid Washington State driver’s license.

Must be able to obtain a police security clearance including polygraph, psychological and background prior to hire.

Preferred Qualifications

Previous administrative suppport work experience in a full service law enforcement environment desirable.

Working Conditions & Physical Activities

Work is performed in a law enforcement environment which has many interruptions and distractions throughout the day. Prolonged periods of time may be spent sitting and working at a computer terminal. Computer keyboard and mouse use are routine parts of this job. The employee frequently is required to sit and type on a keyboard for extended periods of time.

Union Affiliation

As a condition of employment, must become a member of Kirkland Police Guild within 30 days of employment or meet alternate regulations as set forth in the Agreement between the City and the Guild.
