Summary

The City of Gig Harbor is seeking a part-time Administrative Assistant to support the day-to-day operations of the Tourism & Communications Department. This position is approximately 24 hours per week, but during the busy season you may be asked to work additional hours. The ideal candidate will have a great deal of initiative and experience promptly responding to incoming requests via phone, email, website and in-person; database maintenance; updating social media pages and sites; creating newsletters using Constant Contact; as well as assisting a director of a department. Hiring salary range: $24.09 - $27.10 per hour, paid bi-weekly, plus pro-rated benefits.


GENERAL SUMMARY

The responsibilities of this classification include monitoring and responding to all incoming requests for tourism information about Gig Harbor received via phone, in person, and/or from the website; performing database maintenance, updating webpages and social media pages; newsletter creation using Constant Contact, and ordering office supplies as needed.

ESSENTIAL JOB FUNCTIONS

Duties:

  • Provides phone presence to all in-coming callers which include both local, regional, and national/international questions and requests.  Monitors and fulfills all incoming requests from both phone and website for outgoing information about Gig Harbor.
  • Monitors the budget. Tracks and maintains financial and budget information.
  • Prepares vouchers and related tasks. 
  • Responsible for ordering, tracking, and inventory of office supplies.
  • Collects and prepares data for reports; prepares and presents recommendations pertaining to specific subject matter as directed. 
  • Performs database maintenance and development and webpage updates.
  • Occasionally handles bulk mail projects.
  • Occasionally attends meetings, records and transcribes minutes.
  • Updates and maintains filing system.
  • Performs other assigned projects and tasks as directed.

Knowledge, Skills and Ability:

  • Knowledge of writing and communication skills including business English, spelling, bookkeeping and business math.
  • Knowledge of office practices, procedures, and use of standard office machines.
  • Knowledge of word processing, spreadsheet, and database software.
  • Ability to make routine mathematical computations and tabulations accurately and with reasonable speed.
  • Ability to learn assigned administrative tasks readily within a reasonable training period and to adhere to prescribed routines.
  • Ability to establish and maintain effective working relationships with other employees, and the public.
  • Ability to perform assignments in a coordinated and organized fashion and to effectively manage time with limited supervision.
  • Ability to understand and carry out oral and written instructions.
  • Ability to make independent decisions.
  • Ability to express ideas effectively, both orally and in writing.

Physical Requirements:

  • Ability to hear incoming phone calls and to answer phone calls.
  • Ability to make distinction between different colors.
  • Work is performed in an office or conference room setting. 
  • Walking, sitting, standing, bending and reaching is required. 
  • Some local traveling may be required. 
  • Exposure to adverse weather conditions is minimal.
  • Ability to lift 35 pounds frequently and 50 pounds occasionally.
QUALIFICATIONS

Minimum Qualifications:

  • High School Diploma or GED; and
  • One year of full-time administrative support experience in an office environment; and
  • Valid Washington State Driver License and the ability to be insured by the City's insurance.

Preferred Qualifications:

  • Proficient in Microsoft Office Suite and database management.
  • Previous experience with Constant Contact.
  • Previous experience with website content management.
OTHER INFORMATION

Special Requirements

  • Incumbent is required to travel within the Puget Sound Region.
  • Incumbent is required to possess and retain a valid Washington State Driver License and pass driver's abstract every 3 years of employment.
  • Must be able to pass a background check and reference check.
  • Working hours are Monday, Tuesday, Thursday from 8:00 AM - 5:00 PM.
