The City of Issaquah is currently seeking a part-time, non-regular Administrative Assistant for our passport counter. This is the perfect opportunity to meet members of our community, learn or continue with a skill, and do important work to help serve our residents

This position is the main contact for processing United States Passports at the City's passport counter. The incumbent is required to become certified as a Passport Processing Agent, for which the City will provide training. The position also provides general office support by implementing City administrative systems, procedures, policies, and standardized processes, as embraced by the Support Services workgroup.This is a part-time, non-benefitted position. The work schedule will be about 16 hours per week with the potential for some additional hours if desired. Current passport counter hours are: Tuesday, 9 am-2 pm; Wednesday, 9 am-2 pm; and Thursday, 9 am-4 pm.

Essential Functions:
  • Implement City processes and work effectively in City systems.
  • Ability to become a Passport Application Processing Agent.
  • Provide reception services for passport customers.
  • Assist and direct passport application customers with the details involved in processing a passport application.
  • Utilize and understand the City's self-populating scheduling system (Acuity); assist customers with the scheduling process.
  • Write staff updates for the Passport Newsletter monthly; review Newsletter before it is sent out.
  • Assist Support Services staff in the daily operation of the passport program.
  • May provide coverage for other City reception desks.
  • Other duties as assigned.
Knowledge, Skills & Abilities:
  • Ability to remain focused and adhere to the 15 minute per customer per application schedule.
  • Strong customer service skills to ensure a positive experience to all customers.
  • Thorough knowledge of standard office practices, procedures, and equipment, including the use of a variety of software.
  • Strong attention to detail required to adhere to precise requirements for passport applications.
  • Considerable knowledge of grammar, punctuation, spelling, syntax, appropriate style, and arithmetic.
  • Answer telephones and greet the public courteously.
  • Perform administrative assistant and secretarial duties with speed and accuracy.
  • Learn to interpret, apply, and explain laws, codes, regulations, policies, and procedures.
  • Exhibit problem solving capability.
  • Plan and organize work.
  • Operate a computer terminal to enter data, maintain records, and generate reports.
  • Operate word processing hardware, software and systems.
  • Communicate effectively both orally and in writing.
  • Work confidentially with discretion.
  • Establish and maintain cooperative and effective working relationships with others.
  • Meet schedules and time lines.
  • Work independently with little direction.
  • Ability to handle stressful situations and/or interruptions
  • Type, transcribe materials, and operate office equipment.
  • Type at 50 words net per minute from clear copy.
  • Establish and maintain records, files, and filing systems.
  • Interpersonal skills using tact, patience, and courtesy.
  • Oral and written communication skills.
Qualifications:
  • Graduation from high school or equivalent.
  • One year of college-level course work in office or business administration, secreterial practices, or related field.
  • Some responsible secretarial or administrative office support experience.
  • Current Passport Processing Agent certification, or ability to obtain within one month (City will provide training).
  • Any equivalent combination of education and experience which would provide the desired knowledge, skills and abilities will be considered.
