Summary

GENERAL PURPOSE

Performs routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, cashiering, data processing, and bookkeeping.

SUPERVISION RECEIVED

Works under the direction of the Community Development Director or as assigned.



ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answers central telephone system and routes calls to appropriate persons
  • Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons
  • Files permits, plans, and other department documents; photocopies documents as needed.
  • Operates listed office machines as required
  • Prepares work orders and files completed ones.
  • Enters building permit information into city database.
  • Receives payments for and issues various licenses and permits as assigned; receives and assists with public records requests
  • Prepares and mails materials for planning department or public records requests.
  • Researches and retrieves stored records from the archives.
  • Performs setup for meetings; may take meeting notes
  • Schedules inspections.
  • Receives stamps and distributes incoming mail, processes outgoing mail including bulk mail.
  • Composes, types, and edits correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
  • Provide administrative support to all divisions within department
  • Orders routine supplies for department
  • Other duties as assigned.

KNOWLEDGE, ABILITIES AND SKILLS

Knowledge of:

  • Organizational skills.
  • Computers and electronic data processing; working knowledge of modern office practices and procedures.
  • Operation of listed tools and equipment.

Ability to:

  • Perform cashier duties accurately
  • Effectively meet and deal with the public
  • Communicate effectively verbally and in writing.
  • Handle stressful situations and or interruptions.
  • Work against deadlines.
  • Perform arithmetic computations accurately and quickly.

MINIMUM QUALIFICATIONS

Graduation from a high school or GED equivalent with specialized course work in general office practices such as keyboarding, filing, multi-line phones, customer service, and bookkeeping. Two (2) years of increasingly responsible related experience, including customer service experience, or any equivalent combination of related education and experience.

SPECIAL REQUIREMENTS

The candidate must possess a working knowledge of Microsoft Office Software specifically, Word, Outlook and Excel.

TOOLS AND EQUIPMENT USED

Multi-Line Telephone System, copy machine, postage machine, fax machine, personal computer, permit tracking system.

The noise level in the work environment is moderately noisy. Work is performed indoors, with prolonged periods of sitting.
