Event Assistant -Seasonal - City of Kenmore ( Job # 19-0004)

Summary

The City of Kenmore is accepting applications for a seasonal part-time Event Assistant.  This position will work an average of 20-30 hours per week from May through August. The position works under the supervision of the Volunteer & Events Supervisor.  This Event Assistant will assist in the planning of a variety of community events such as:  Fourth of July Fireworks Show and Kenmore Summer Concert Series with special emphases on Movies at the Square and the #WhyILoveKenmore Summer Party. As assigned, this may include assisting the Volunteer & Events Supervisor in Hangar programming and reservations and oversight of volunteers at events. Because of the small number of City employees, each staff member is expected to perform a wide range of office and field duties as may be required from time to time.

Essential Duties and Responsibilities

Events

  • Assist Volunteer & Events Supervisor in the planning and implementation of the City's community event programs, with a specific focus on Movies at the Square and the #WhyILoveKenmore Summer Party in the Town Square and Hangar
  • Attend and oversee implementation of some events without direct supervision
  • Participate in setup and teardown of events
  • Cultivate and maintain relationships with vendors
  • Contract and schedule entertainment for special events
  • Partner with the Volunteer & Events Supervisor to coordinate and direct event volunteers
  • Maintain signage inventory and storage and work with Communications Specialist to submit new sign requests
  • Monitor equipment inventory for event preparedness; including repairs, packing, storage, etc.
  • Perform general office duties: compose correspondence and maintain event software, files, and database entry

 

Town Square and Hangar

  • Assist with promotion of the event space to the community.
  • Reach out to various nonprofits, music and dance instructors, schools, clubs, and other groups to encourage use of the space.
  • Respond to programming or event related questions or requests for information via phone, email or in person
Qualifications
  • High school diploma or GED required
  • Six months of event management experience desired (not required)
  • Excellent oral and written communication skills
  • Excellent organizational and problem-solving skills
  • Demonstrated reliability and punctuality
  • Must have knowledge of computer programs including Word, Excel, and Publisher
  • Valid Washington driver's license required and acceptable driving record maintained
  • Must be able to successfully pass a required background check
  • Ability to work both as a part of team and independently required
  • Ability to do heavy pushing and lifting as required
  • Ability to work under the supervision of Volunteer & Events Supervisor
  • Must be able and willing to work a flexible schedule that includes evenings, weekends and/or holidays
  • Must be able to work extended hours at events

This position requires attendance at a majority of the City’s Special Events: 4th of July Show (July 4), Movies @ the Square (July 11, July 25, August 8, August 22), Kenmore Play Day (August 11), and #WhyILoveKenmore Summer Party (August 25).

Physicial Abilities
  • Requires the ability to function primarily indoors in an office environment although attendance at outdoor volunteer and community events will be part of the job
  • Must be able to sit and stand for long periods of time
  • Position will require lifting (frequently up to 20 pounds occasionally up to 50 pounds), physical labor (pulling, pushing, etc.), and body positioning (standing, walking, use of hands, stooping, kneeling, crouching)
  • Must be able to comfortably maneuver on park grounds at night and/or without much light
  • Requires auditory ability to carry on audience, ordinary, and telephonic conversation
  • Requires near and far visual acuity to read detailed maps, drawings, other printed material, computer screens, and observe physical layouts
  • Requires manual and finger dexterity to write and to operate computers and other office equipment
  • Requires driving ability in order to transport oneself in and around Kenmore

Working Conditions and Other Requirements

Requires valid drivers license and acceptable driving record.

Work is performed indoors and outdoors where some safety considerations exist from physical labor and handling of medium weight, yet, awkward materials. Weekend and evening work is required. Meeting attendance may be required outside normal business hours.
