SALARY:  $23.25 - $26.16 per hour – DOE + Great Benefits - Full-time (AFSCME Union Position – Contract Position budgeted through 12/31/2020)

The Front Counter/Administrative Support Assistant often will serve as the first contact point for the citizens visiting City Hall and significantly contributes in creating a favorable impression of the City by welcoming the public. Under the supervision of the Permit Services Manager, this position functions as part of the Community Planning & Development Department.  This position is responsible for greeting visitors at the front/permit counter and directing them to appropriate staff. This position is also responsible for answering a high volume of general information telephone calls and requests for service. 

In addition to acting as a welcoming front counter presence, this position also supports the Community Planning & Development Department as an Administrative Assistant. Proficient computer skills are essential to completing a wide variety of responsible, complex and confidential tasks requiring independent decision-making and discretion.  Must have excellent communication skills, a clear speaking voice, and experience using business phone systems.

Essential Job Functions
  • Provides a consistent welcoming presence at the front counter for the general public. 
  • Answers general information questions and refers or takes messages for others.
  • Maintains an understanding of the general and critical functions of all city departments.
  • Performs administrative assignments in support of Community Planning & Development department.
  • Administrative support duties include:  scheduling inspection requests, data entry, maintaining paper and electronic filing systems, scanning documents, indexing electronic files, etc..
  • Coordinates weekly public notice mailings, and other mailings as assigned.
  • Sorts incoming and posts outgoing mail.  Signs for and distributes packages.
  • Stocks handouts and forms at permit counter, ensures lobby is tidy and presentable.
  • Other duties as assigned.
Qualification Requirements
  • High school graduation or equivalent.
  • Two years experience in telephone reception and/or dispatching of work (combination of two years experience in general office with heavy phones and customer service may be substituted).
  • Critical thinking skills and ability to problem solve.
  • Ability to type and word-process at 60 WPM (Microsoft Word preferred).
  • Ability to create and maintain basic spreadsheets (Microsoft Excel preferred).  Familiarity with basic office procedures.
  • Demonstrated experience of successful customer service.
  • Ability to establish and maintain good working relationships.
  • Ability to plan and organize many and varied work assignments.
  • Professional demeanor, courteous and efficient.
  • Proof of citizenship or permission to work.
  • Valid Washington State driver's license.

Work is of an administrative nature and typically performed indoors, with prolonged sitting and fine manipulation skills required for computer use.  Hand-eye coordination and fine manipulation skills are necessary to operate computers and various office machinery.  Must have an ability to hear and speak clearly with telephone callers and the public.  This position requires occasional lifting of 50 pounds.
